Illustrative RFQ workflow patterns

How incomplete RFQ evidence can become a clear supply route.

These are illustrative composite workflow patterns, not records of named or specific transactions. They combine recurring marine spare-parts RFQ scenarios to explain an evidence path and its decision points. They do not claim that a particular buyer, vessel, timing or commercial result occurred.

Composite pattern 01 · Two-stroke main engine

Two-stroke main engine spare — nameplate photo only, no part number

Situation

In this composite pattern, a buyer starts with a nameplate photo of a two-stroke main engine component with the maker name partly obscured by paint. There is no drawing, part number or old order reference, and a narrow port window makes an identification error especially costly.

Challenge

Identify the maker and the correct part revision from the visible plate text alone, then propose supply options that fit the port window without over-promising delivery.

Illustrative response path

  1. Read the visible characters and compare them with relevant maker plate conventions.
  2. Ask for the engine builder identification on a nearby plate, where a separate identifier may be available.
  3. Use that secondary evidence to test the proposed identity before discussing a supply route.
  4. Review OEM and verified alternative routes only where the available evidence supports doing so.
  5. Present any viable options with plain-language trade-offs on lead time, documentation and evidence.

Intended outcome

A buyer can compare clearly stated sourcing paths against its own documentation and timing priorities. A delivery date remains unconfirmed until the technical requirement and supply basis are sufficiently clear.

Evidence needed

Composite pattern 02 · Auxiliary machinery

Fresh-water generator seal — Excel list with mixed makers

Situation

In this composite pattern, an Excel file mixes items across several makers — fresh-water generator gaskets, a separator pin and a turbocharger consumable. Some lines have part numbers; others contain descriptions only.

Challenge

Keep each item's supply option, evidence and commercial terms separately clear rather than blending them into one summary. Line-level clarity prevents ambiguity in one item from affecting the rest of the RFQ.

Illustrative response path

  1. Split the file into one supply line per item, each with its own evidence, supply-basis and delivery-status fields.
  2. For description-only lines, request a nameplate, photo or part-book page — whichever source the buyer can provide.
  3. Where evidence supports both OEM and verified-alternative review, keep those routes on the same line so the buyer can decide item by item.

Intended outcome

The resulting quotation structure keeps evidence and route status visible per line. Items with sufficient evidence can progress; incomplete lines remain explicitly flagged rather than guessed.

Composite pattern 03 · Instrumentation and control

Cargo-monitoring sensor — obsolete OEM part number

Situation

In this composite pattern, an OEM part number for a cargo-monitoring sensor is listed as obsolete, while a replacement designation has a different form factor and cable termination.

Challenge

Confirm whether the replacement is a drop-in swap for the buyer's application or requires cable rework, mounting change or a firmware compatibility check on the receiving control loop.

Illustrative response path

  1. Check the obsolescence note and replacement designation against current OEM product data.
  2. Request a photo of the installed unit and its cable termination.
  3. Compare the installed form factor and termination with the replacement specification.
  4. Flag any cable or mounting delta as a buyer or control-system integrator decision rather than silently treating the replacement as identical.
  5. Present only the replacement routes that the available evidence supports.

Intended outcome

The buyer receives clearly separated routes and an explicit compatibility decision. The form-factor delta stays visible instead of being absorbed into an unsupported “same part” claim.
