Information an RFQ may contain
An RFQ may contain business contact information, buyer company details, technical identifiers, vessel or fleet context, commercial requirements and delivery context. Depending on what you choose to provide, this may include:
- name, company, business email address and phone number;
- vessel name, IMO, maker, model, serial number, part references and quantities;
- photos, nameplates, drawings, parts-list pages or old quotations;
- port, ETA, route preference, urgency and documentation needs.
Purposes and legal basis
We use this information to receive, assess and answer RFQs; identify or clarify equipment; source and quote suitable supply routes; communicate with the buyer; and coordinate contractual or delivery context where applicable. The intended legal bases are legitimate interests and steps taken at your request before entering into a contract.
Recipients and service providers
Information is shared only where reasonably needed for the RFQ and business workflow. This can include relevant suppliers, logistics providers and service providers used to operate the RFQ desk.
- Cloudflare may provide website delivery and Turnstile bot-protection services.
- Postmark may provide RFQ notification and buyer-confirmation email delivery.
- Google Sheets may be used as an internal RFQ lead log for operational follow-up.
- Direct file intake, if enabled in a future preview or production workflow, may use private object storage and an external malware-scanning service before a file is retained.
International transfers
Some service providers may process data outside the European Economic Area. Appropriate safeguards and processor arrangements are reviewed for the services actually enabled.
Retention
RFQ and business communication records may be retained for the time needed to respond to a request, manage quotations and orders, meet accounting or legal obligations, resolve disputes and maintain business records.
Your rights and requests
Subject to applicable law, you may request access, correction, deletion, restriction, objection or portability of personal data. Contact sales@vesselcore.eu with enough detail to identify the request. You may also have the right to lodge a complaint with the Estonian Data Protection Inspectorate.
Cookies, analytics and security
The RFQ form uses bot-protection. Any analytics events used on this website are designed to record interaction categories only. RFQ text, email addresses, vessel/IMO data, part numbers, attachments, prices and lead IDs must not be sent in public analytics payloads.
