Documentation is the part of a spare parts order that is easiest to leave until last and hardest to fix afterwards. A certificate that was never requested cannot be produced once the consignment has left, and a document that carries the wrong vessel reference can hold a clearance that the parts themselves would have passed. When a requirement is stated in the RFQ, documentation availability can be reviewed together with the supply route and confirmed in the quotation. What each document does for the vessel operator.

Not every item applies to every order. What applies to a specific request is confirmed on the quotation, so the buyer knows what will arrive with the consignment.

Commercial invoice

The commercial record of the order: issuer identifiers, line items, quantities and values. It is the document customs assess and the purchasing department files against the quotation.

Packing list

What is physically in each package, with quantities, weights and dimensions. It lets the receiving side check the consignment against the order without opening every box.

Material certificates

Where the manufacturer issues them, material certificates record the specification a component was made to. Availability depends on the part and the supply route, and is confirmed at quotation stage.

Test certificates

Where testing forms part of manufacture, the corresponding certificate can be requested with the order. It supports the technical file a superintendent keeps for the equipment.

Vessel identifiers

Vessel name, IMO number and purchase order reference can be carried on the documents when supplied with the request, so the paperwork matches the operator's filing and clearance needs.

Consignee and delivery detail

Documents are prepared for the actual receiving party: a port agent, a forwarder, a warehouse or the vessel itself. Naming that party early keeps the handover predictable.

Clearance-ready presentation

Documents are prepared with customs clearance and port agents in mind, so the information those parties look for is present and consistent across the set.

Advance copies

Copies can be sent ahead of the physical consignment where the agent or clearance broker needs to prepare. The request should say who needs them and when.
