What Information RFQs May Include
When you submit an RFQ through the website or by email, the request may include contact, technical, vessel, commercial and delivery information. This can include:
- contact name, company name and email address;
- vessel name, IMO number or fleet context if you choose to provide it;
- maker, model, serial number, part number, description and quantity;
- photos, nameplates, drawings, part-book pages or old reference wording sent by replying to our confirmation email;
- port, ETA, urgency, documentation requirements and route preference.
How We Use RFQ Information
We use RFQ information to review your request, organize technical evidence, clarify OEM or verified alternative supply routes, communicate with you, prepare quotations and coordinate delivery context where applicable.
We do not intentionally publish private buyer, vessel, supplier, price, invoice, bank or RFQ evidence data on the public website.
Website Services Used
- Cloudflare Pages may host and serve the website.
- Cloudflare Turnstile is used for spam and bot protection on the RFQ form.
- Postmark is used to deliver RFQ notifications and buyer confirmation emails.
- Analytics events, where present, should remain privacy-safe and must not include RFQ text, buyer email, vessel/IMO, part numbers, prices, supplier details or lead IDs.
Sharing to Review RFQs
Where needed to respond to a request, limited technical and commercial RFQ details may be shared with relevant suppliers, logistics providers or service providers. The goal is to use only the information needed to review, quote or coordinate the request.
Retention
RFQ and business communication records may be kept for operational, accounting, contractual and legal recordkeeping reasons. Retention periods can depend on whether the request becomes a quotation, order, invoice or ongoing business communication.
Your Choices
You can choose what RFQ evidence to send. If a detail is sensitive, mark it clearly in your message. For privacy questions or requests about information you have sent to Vessel Core, contact sales@vesselcore.eu.
